Roles and Responsibilities:
  • Controlling the conduct of all general affairs which affects the supervisor of the assigned office
  • Serving as a primary contact for persons seeking appointment with supervisors, arranging such appointments to avoid unnecessary interruptions to supervisor’s schedule and referring visitors or telephone callers to subordinate personnel, as necessary
  • Opening and screening incoming mail and re-routing it to other units for action, where appropriate
  • Composing replies to correspondence for supervisor’s signature
  • Handling routine queries personally
  • Maintaining confidentiality of information and correspondence for the supervisor’s signature
  • Taking and transcribing a variety of correspondence and compiling periodic reports on board instructions from supervisor
  • Providing routine information from records to other organizational units, as requested
  • Maintaining knowledge and records of current Hospital policies and procedures
  • Establishing and maintaining a variety of files and other office systems necessary for the performance of the work
  • Handling minor administrative matters, based on knowledge and judgment of Hospital regulations, procedures and policies
  • Completing project assignments as requested
Education Requirement:
  • Required:
    • Diploma in Medical Secretarial Studies.(Not less than 2 years curriculum).
    • Bachelor Degree in Administration or equivalent
    • Secretarial School Diploma (Not less than 2 years curriculum) or equivalent
    • A qualification in a medical field
Experience Required:
  • Required:
    • 2 years experience in a health care environment.
    • UAE Nationals are exempt from experience requirements
