Responsible for the effective and efficient implementation of policy management processes and systems. The Policy administrator oversees the process of updating all SSMC policies and procedures and the publications in the policy manager. Also responsible for disseminating knowledge and updates pertaining to new policies or policy changes. The policy administrators will be responsible for implementing appropriate quality improvement practices and coordinating the development of appropriate frameworks and processes to support the delivery of quality and safety priorities and strategy.

Roles and Responsibilities:
Collaborate with policy owners/ policy writers to ensure policy, process, procedure, and guideline content is written to reflect the organization’s intent, is easy to read, and is understandable by the reader.
Support all SSMC departments and services in policy management and document control.
The policy administrator will be assigned as the policy management software administrator responsible for document management and control.
Establish and monitor quality indicators / metrics to ensure the effectiveness of the SSMC policy management system
Partners with all SSMC endorsing / approving committees to facilitate policy endorsement and approval.
Ensure timely publishing of policies, procedures and guidelines.
Act as liaison with the practice and other departments to ensure policies and education plans are implemented
Ensure policies, processes, procedures, and guidelines are written at the appropriate level, verbiage, and clarity using the standard templates by explaining and negotiating editorial changes with document owners/initiators.
Establish a system for communication of policy change / new policy development.
Perform other functions and ad hoc projects as assigned and must be flexible with work schedule as required to meet Quality and safety department needs and priorities.
Implement quality improvement initiatives and plans in alignment with quality strategy and priorities.
Establish framework and indicators for policy, procedures and guidelines monitoring and compliance.
Partner with the departmental quality champions in monitoring policy compliance and implementation
Completing and maintaining regulatory requirements including licensure and certification and other mandatory training within established periods.
Master’s degree or equivalent in relevant field such as quality and Safety
Recognized certifications such as certified proficiency in Healthcare Quality (CPHQ), Certified Medical Quality (CMQ), lean six sigma etc.
Experience in regulatory, quality management principles, and policy management.
6-8 years of relevant experience.
Computer literacy and medical terminology comprehension are essential
Proficiency in the use of computer programs for word processions, spreadsheets, data analysis, document control, creation of graphs and charts.
